The Challenge

Digital transformation of agreement signing processes using one-time qualified signature

In an era of dynamic digitalization of the economy, EFL has sought to further simplify and speed up the process of concluding lease agreements. One of the key objectives was to enable both existing and new customers to sign a lease agreement entirely remotely, without the need for a long-term qualified signature, specialist knowledge or physical contact with a company representative. Ensuring compliance with regulations (including the eIDAS Regulation) while maintaining the highest level of security, convenience and service availability was a major challenge.

The EFL has again partnered with Asseco Data Systems, with which it had previously implemented the SignHub component, which allows EFL employees and customers to sign agreements using their SimplySign qualified electronic signatures.

Solution

One-time qualified signature for leasing from Asseco Data Systems

In response to growing customer expectations and the need to further digitize processes, EFL, in cooperation with Asseco Data Systems, has implemented a state-of-the-art solution based on a one-time qualified signature. The key objective was to simplify the process of concluding lease agreements and enable it to be carried out entirely remotely and in digital form.

The project was preceded by a detailed analysis of user needs, which made it possible to precisely identify customer requirements and tailor the solution to their expectations in terms of ease of use, speed and security. Based on this, a process was designed and implemented in which a customer can sign a lease using a one-time qualified signature, using any device — smartphone, tablet or computer.

The technological basis of the implementation was the integration of the system with the e-ID Hub service from Asseco Data Systems, which is connected to the National Electronic Identification Hub (login.gov.pl). The use of this solution made it possible to quickly and securely verify identity using the mObywatel application or e-ID card. As a result, the entire process — from identification to document signing — takes less than 10 minutes and complies with the EU eIDAS regulation. This means that documents so signed have full legal force throughout the European Union.

During the project, special emphasis was placed on functional and UX testing, with the goal of ensuring maximum intuitiveness and user-friendliness — regardless of the customer’s level of technological sophistication. The result was a simple, transparent process that eliminates all barriers to entry and is available at no additional cost.

The service was implemented in production on 24 March 2025, and was preceded by information and education activities aimed at customers. Communication and education played a key role in the smooth launch of the service, allowing customers to quickly learn the new document-signing model and enjoy its benefits without a hitch.

The implementation of a one-time qualified signature for leasing from Asseco Data Systems has enabled EFL not only to fully digitize the agreement signing process, but also to significantly increase its operational efficiency and improve the customer experience at every stage of cooperation.
