Implement paperless processes in 3 months
When the pandemic forced remote work in 2020, Asseco Business Solutions decided to swiftly transition its employees to home office. However, this required a complete change in how documents requiring signatures, which had previously circulated in paper form between branches, were handled. Simultaneously, as a provider of business applications, the company chose to support its clients in maintaining business continuity during lockdown as quickly as possible.
"The pandemic presented us with the necessity of finding a solution that would not only work during the crisis but also bring long-term benefits to both employees and clients and, in the end, the entire company. That's why we chose electronic signatures," – said a representative from ABS.
SimplySign, more than optimization
The best proposal for implementing qualified electronic signatures was submitted by Asseco Data Systems, offering SimplySign e-signature. Asseco Data Systems, like Asseco Business Solutions, is part of the Asseco Group. Experts from Asseco Data Systems not only advised on the implementation of e-signatures but also the creation of an identity confirmation point, allowing ABS to handle the entire activation process of qualified SimplySign signatures for employees and clients.
SimplySign was intended to enable Asseco Business Solutions employees to remotely and fully electronically conclude contracts, sign annexes, statements, and other documents requiring the legal status of a handwritten signature, both within the company and with external partners. Employees could also use SimplySign for personal purposes. Meanwhile, the company's clients and their employees were to use qualified signatures in HR and financial-accounting applications provided by Asseco Business Solutions. In the future, SimplySign was also planned to be used for authorization in the National e-Invoice System.
After choosing the provider, an analysis of internal processes was conducted to identify those that would be adapted to e-signatures first. In the next stage, the capabilities of Asseco Business Solutions applications were expanded by integrating them with SimplySign and adding the functionality to create and sign documents directly within the ERP systems and the HR Portal by Asseco.
Within a few months, all Asseco Business Solutions employees were equipped with electronic signatures. Simultaneously, signatures were issued to Asseco's clients.
The integration of Asseco Business Solutions systems utilizes SimplySign's API. In the ERP system or interconnected services like the HR Portal, a simple button press, labeled 'Sign,' redirects the user to the SimplySign signature process. Subsequently, the document returns to the ERP system, which stores the file. The entire process takes only a few seconds, and the interaction between systems is seamless for the user.
